The African Initiatives for Relief and Development (AIRD) is a non-political, non-religious and non-profit making NGO with Country Programme Offices in Burkina Faso, Cameroon, Central African Republic, Chad, Democratic Republic of Congo, Ethiopia, Liberia, Niger, Tanzania, Uganda and South Sudan. AIRD’s objective is to offer operational support, including but not limited to: supply chain, logistics, construction, infrastructure, environment, livelihoods and WASH in partnership with relief and development organizations that focus on disaster-affected and development oriented areas. AIRD delivers for and through partners including but not limited to UN Agencies, international and national donor organizations and governments.

AIRD is working with stakeholders in Ethiopia on an anticipated project in Somali Region.  It is in view of this that the position of Operation Assistant is being advertised

Key Responsibilities

General Duties

1.        Support to daily Operations:  Assist in coordination and facilitating various operational task to ensure smooth functioning of the office


2.        Administrative Support:  Handle administrative tasks such as data entry, filing, scheduling appointments, and responding to emails or phone calls

3.        Procurement and Inventory Management:

·        Assist in managing inventory levels, monitoring stock levels, and coordinating with suppliers to ensure timely delivery of goods and services.

·        Coordinate and consolidate annual procurement plan for goods and services.

4.        Documentation and record keeping:  Maintain accurate records, documents, and files related to operations, projects and transactions.

5.        Assist with logistics:  coordinate and track shipments, deliveries, and transportation to ensure timely and efficient operations.

6.        Collaborate with other departments on cross functional initiative

7.        Process improvement:  Identify opportunities for process improvement and efficiency gains within the operations department

8.        Compliance:  Ensure compliance with organizational policies, procedures, and regulations including

9.       Petty Cash: Follow up on the management of petty cash

·        WASH Project Manager, and Project Officers

·        Partners, Government authorities and vendors

Qualifications, experience and skills

·        BA Degree degree in Purchasing and Supplies Management, Logistics, Finance, Accounting, Management or other related field of study

·        A qualified professional certificate like ACCA, CIMA will be an added advantage.

·        Minimum 3-4 years of experience directly supporting/managing Procurement, Finance and Administration in an NGO or corporate environment.

·        Excellent knowledge of the Ethiopian fiscal environment and public procurements

Detail experience, knowledge and understanding of the USAID procurement practices, UN , Ethiopian Government Procurement directives, the World Bank procurement procedures, and other NGOs.
·        Excellent analytical, oral and written communication skills in English.

·        Highly organized with ability to prioritize and multi-task while working as part of a team

·        Possess strong accuracy, attention to detail and ability to follow through.

·        Computer literate, with strong knowledge of, and experience with Microsoft Office applications (Word, Excel, PowerPoint); Databases, Spreadsheets, E-mail and Internet.

·        Willing to travel to remote areas, and ability to work flexibly including in Rural locations.

·        Honest, energetic, independent, self-motivated and administratively self-sufficient; problem Solving skills and Flexibility.
